Answer rate is a phone metric that measures how many incoming calls are actually picked up, calculated as answered calls divided by all inbound calls over the same period.

It is the simplest health check for a clinic's phones. If the answer rate is high, owners who call can usually reach someone. If it is low, a meaningful number of people are hearing a ring, a busy tone or a voicemail greeting instead of a voice, and some of them will not try again.

How to calculate it

Start with the total number of inbound calls for a day or week, taken from your phone system's call log. Then count the calls that were answered by a person or a system that could act on them. Divide the answered calls by the total inbound calls. That gives the answer rate as a share of all calls.

A few counting choices change the result, so decide them once and keep them stable. Decide whether a call that reached voicemail counts as answered (it usually should not). Decide whether repeat calls from the same number within a few minutes count once or several times. And decide whether to include calls that hung up during the greeting.

Reading it well

A single overall number hides the pattern. Break the answer rate down by hour of day and day of week, and the weak spots appear: Monday mornings, lunch cover, the hour before closing. Compare it with the call abandonment rate, which shows how many callers gave up while waiting, and with missed calls, which are the calls that make up the gap.

Answer rate also says nothing about what happened after pickup. A call that was answered but not resolved still costs the team a callback, which is why some clinics track first-contact resolution alongside it.

An example

At a two-vet clinic, the practice manager pulls a week of call logs. Across the week, the answered calls divided by all inbound calls looks acceptable. Split by hour, though, the first hour after opening is far weaker than the rest of the day, so the clinic moves a receptionist's break and adds overflow cover for that hour.
