An AI receptionist is software that answers incoming phone calls in a natural speaking voice, understands what the caller wants and handles routine requests before passing anything else to a person.
The phrase covers a wide range of products. At the simple end, an AI receptionist greets the caller, takes a name and a reason for calling, and sends a message to the team. At the more capable end, it reads the clinic's schedule, offers real appointment times, confirms a booking and writes it back into the practice software, all while the caller is still on the line.
How it works on a call
Three pieces of technology do the work. Speech-to-text turns the caller's words into text as they speak. An AI model decides what the caller is asking for and which action fits, such as checking open slots or creating a task for staff. Text-to-speech then turns the reply back into a voice. Good systems do this quickly enough that the conversation feels like talking to a helpful person rather than pressing buttons.
