No-show rate

No-show rate is a scheduling measure: the number of appointments where the client neither came nor cancelled ahead, divided by the total appointments booked in the same period.

A no-show is different from a cancellation. A client who rings the day before to cancel gives the clinic a chance to offer that slot to someone else. A client who simply does not arrive leaves a vet with an empty consult room and no time to fill it. The no-show rate tracks the second kind, which is why it is one of the numbers practice managers watch most closely.

How to calculate it

Pick a period, such as the last full month. Count the appointments that were booked for that period. Count the ones marked as no-shows. Divide the no-shows by the booked total. Decide in advance what counts: most clinics treat a very late arrival that cannot be seen as a no-show and a same-day cancellation as its own category, so it can be tracked separately. Whatever rules you choose, keep them the same each month so the trend means something.

What the number tells you

Looked at over time, the rate shows whether changes are working. Broken down further, it is even more useful. Compare appointment types, days of the week, new versus existing clients and how far ahead the visit was booked. Patterns often appear, such as early-morning slots booked weeks ahead being missed more than next-day bookings.

What clinics do about it

The usual tools are clear reminders, an easy way to cancel or move a visit, a deposit policy for certain appointment types, and a waitlist to fill freed slots. Each works best when you measure the rate before and after the change.

An example

At a two-vet clinic, the manager runs a report from the practice software each month showing booked appointments and those marked as no-shows. She notices that most missed visits are routine checks booked far in advance. The team adds a reminder closer to the date with a quick way to reschedule, then compares the next three months against the earlier ones.
