Missed-call text-back

Updated

Missed-call text-back is an automation that sends an SMS to a caller's mobile number shortly after their call goes unanswered, so the conversation can continue by text.

The idea is simple. Many owners who reach a ringing phone will not leave a voicemail, but they will answer a text. A short message such as "Sorry we missed your call. Reply here and we'll help, or call back any time" gives them an easy next step and shows the clinic noticed.

How it works

The phone system or a connected app watches for calls that end without being answered. When it sees one from a mobile number, it sends a pre-written text from the clinic's number. Replies land in a shared inbox, where staff or an AI can carry on the conversation. Calls from landlines are usually skipped, because they cannot receive texts.

Things to get right

Wording matters. The text should name the clinic, say plainly that the call was missed and invite a reply. It should never try to assess an urgent situation by text; if there might be an emergency, the message should point the owner to a phone number where a person answers.

Consent and timing matter too. A one-off reply to someone who just called the clinic is different from adding them to marketing messages, so keep the text purely about their call. Avoid sending in the middle of the night unless the clinic is ready to respond.

The biggest limit is that a text-back works only after the call has already been missed. It is a safety net for lost calls rather than a way to answer them, and some owners will have moved on by the time the text arrives.

Where it fits

Text-back works best alongside two-way texting, so replies reach a person or system that can actually book or answer, not a no-reply number.

An example

At a two-vet clinic, a call rings out during a busy afternoon. A minute later the owner gets a text from the clinic's number inviting a reply. She writes back that she wants to book a dental check, and the receptionist replies with two open times once the counter is quiet.

How Tilly handles it

Tilly aims to answer the call itself, so fewer calls are missed in the first place. Tilly also answers SMS and WhatsApp around the clock and books directly into your practice software, so an owner who prefers to text gets the same help.
