After-hours answering

Updated

After-hours answering is phone coverage that picks up a clinic's calls while it is closed, so owners calling at night, at weekends or on holidays reach a live response instead of a recording.

Pets do not keep office hours, and neither do their owners. Many people only have time to call about routine things in the evening, after work, and some calls are about worries that cannot wait until morning. Without after-hours coverage, all of those calls land in the same place: a closed message, a full voicemail box or a phone that simply rings.

The usual ways clinics cover it

Clinics tend to pick one of four approaches. Some play a recorded message that gives opening hours and the number of the nearest emergency hospital. Some ask a staff member or the on-call vet to carry a phone. Others forward the line to an answering service that takes messages. A growing number use an AI front desk that can answer, book and route calls overnight.

Each option has a different cost in staff time, sleep and missed bookings. A recording costs nothing to run but captures nothing either. A staff phone puts the burden on one tired person. A service or an AI gives callers a response, but the details matter: whether it can book, how it handles urgent calls and how the morning team receives the results.

What good coverage looks like

Good after-hours answering does three things. It handles routine requests fully, so owners who want an appointment get one. It recognizes when a call might be urgent and gets that caller to the right people fast, whether that is the on-call vet or the clinic's emergency partner. And it leaves the morning team a clear, short list rather than a pile of messages to decode. Holiday hours need care too, so the answering setup and the clinic's public listings should match.

An example

At a two-vet clinic that closes at six, an owner calls at nine in the evening to book a puppy's second vaccine visit. The after-hours setup books a slot for Saturday morning and sends a text confirmation. Later that night a different owner calls about a possible emergency and is connected to the clinic's emergency partner hospital without waiting.

How Tilly handles it

After hours is one of Tilly's answer modes. Tilly answers calls, SMS and WhatsApp in English and Spanish, books into your practice software, and sends a possible emergency straight to a person on your team, or to your emergency partner after hours. Each call appears in your dashboard with a summary.
