Appointment and vaccine reminder text templates for vet clinics

The best veterinary reminder texts are short, start with your clinic's name, name the pet, ask for one clear action and end with an opt-out such as "Reply STOP to opt out." Below are copy-ready templates for confirmations, reminders 48 hours and 2 hours before a visit, a three-step vaccine recall, no-show follow-ups and waitlist offers, each with a character count. Before you send any of them, read the short consent note: in the US, who you may text, and when, depends on what they agreed to.
The short answer: short, named, with one clear action and an opt-out
Every template in this article follows the same five rules:
- Start with your clinic's name. Clients should know who is texting before they read anything else. Phone numbers alone look like spam.
- Name the pet, not the procedure. "Luna has an appointment" is enough. Use the client-facing name of the visit ("annual vaccines", "dental check") and nothing more clinical.
- Ask for one action. Confirm, reschedule, book or take a slot. One-letter replies such as C, R and X are easy to type and easy for your team or software to read.
- Keep it within one segment where you can. A standard text segment holds 160 plain characters. Emoji, curly quotes and some accented letters switch the message to a different encoding that holds only 70, and a longer message is split and billed in parts.
- End with the opt-out. "Reply STOP to opt out." Then honor it every time, on every system that texts for your clinic.
The character counts below are for the example text as shown, with our fictional demo clinic, Maple Street Animal Hospital, and its example client Luna. A shorter clinic name or pet name gives you more room. Count again after you fill in your own details.
Before you send: consent and quiet hours (US summary)
United States. This is general information, not legal advice. Ask your own counsel how federal and state rules apply to your clinic.
Texting clients is regulated in the US, and the wireless industry has its own rules on top. CTIA, the US wireless industry association, publishes Messaging Principles and Best Practices that carriers expect businesses to follow. In plain words, they expect you to get the client's consent before you text, to identify your business in your messages, and to honor opt-out requests such as replying STOP. Your texting provider will also ask you to register your number for business texting before you can send.
Four habits keep most clinics on the right side of these rules:
- Record consent per channel and purpose. Keep a record of which clients agreed to texts, for which kind of message, and when and how they agreed. Consent to appointment reminders isn't consent to recalls, promotions or newsletters. Consent to texts isn't consent to WhatsApp.
- Honor opt-outs at once. When a client replies STOP, or writes "please stop texting me", stop the messages they asked to stop, on every system. Send one confirmation and nothing more.
- Mind the clock. Send only in daytime hours in the client's own time zone. Several states set narrower windows than others, and some restrict Sundays and holidays. Set quiet hours in your tools, and ask your counsel what they should be.
- Don't pile on. Several campaigns can target the same client in one day. Cap the total so a client never gets a string of texts about the same visit.

How Tilly handles this. Tilly sends reminders and recalls only to clients with recorded consent for that channel and purpose, and checks consent and opt-outs again at the moment of sending. It sends only between 8 a.m. and 9 p.m. in the client's local time, and inside a narrower window where a state's rules require it. Appointment confirmations and reminders count as service messages. Appointment templates
Use these for every booked visit. By default, Tilly sends a confirmation shortly after a booking is made (unless the client booked with Tilly and confirmed in the same conversation), then reminders 48 hours and 2 hours before the visit.

Send two days before the visit. This is the reminder that does most of the work: there's still time to reschedule and offer the slot to someone else.

2-hour reminder
Send two hours before the visit. Keep it friendly and practical.

If a 2-hour reminder would fall outside your quiet hours, for example before an early-morning visit, send it the evening before instead, or skip it. Tilly moves it earlier only when the client's local rules allow that time; otherwise it skips it.
If an AI assistant sends them
When an AI assistant sends the first message in a thread, it should say it's an AI. Tilly's version of the 48-hour reminder looks like this:
Hi Sarah, this is Tilly, the AI assistant for Maple Street Animal Hospital. Reminder: Luna's vaccines on Thu Oct 15 at 4:20 PM with Dr. Patel. Reply C to confirm, R to reschedule, or X to cancel. Reply STOP to opt out.
218 characters, 2 segments. Later messages in the same thread don't repeat the introduction. Clients can reply in their own words too, such as "can we do Friday instead?", and Tilly finds a new time with them in the same thread.
Recall templates
A vaccine recall reminds a client that a routine service is due and asks them to book. Recall texts are about scheduling only. Say what is due and when, ask the client to book, and leave anything clinical, including why a service matters for a particular pet, to your team.
Three steps work well. Tilly's defaults are 14 days before the due date, 7 days after it, and a final message 30 days after it. Stop the sequence as soon as the pet has a booking that covers the service.

Two pets, one message
If a client has two pets due within a few days of each other, send one message, not two. Tilly combines them automatically.
Maple Street Animal Hospital: Luna and Max are due for their annual vaccines this month. Reply B and we'll find a time for both. Reply STOP to opt out.

One more rule, and it matters more than any wording: if a client has told your team that a pet has died, stop every recall for that pet at once, and pause other recalls to that client for a while. Tilly does this automatically when the news comes up in a conversation.
No-show and waitlist templates
No-show follow-up
Send a couple of hours after the missed visit, within opening hours. Keep it kind and make rebooking easy. Don't mention fees unless your clinic has a clear, published policy on them. If the client replies that the pet is unwell, treat the reply like any other message about a pet's health and get it to your team.

Waitlist offer
Send as soon as a slot opens, within quiet hours. Offer it to a few clients at once and hold it briefly. Tilly's defaults are three clients at a time and a 15-minute hold. The first client to accept gets the slot. Read more about waitlists and cancellation fill.

WhatsApp differences (template approval)
WhatsApp Business works differently from SMS in three ways.
Consent. The WhatsApp Business messaging policy says you may contact people on WhatsApp only if they gave you their number and opted in to receive messages from you. You must also respect any request to stop, made on or off WhatsApp. Record WhatsApp consent separately from SMS consent.
Templates. Under the same policy, a business may start a conversation only with an approved message template. Once the client writes to you, you can reply freely within a 24-hour customer service window, which resets with each message from the client. In practice, every reminder, recall and waitlist offer you start needs a template approved by Meta first, in each language you use. Approval can take time, and a template can be rejected, so submit your wording well before you need it.
Categories. Templates are categorized. Confirmations and reminders are usually utility messages, while recalls and win-back messages may be classed as marketing, which has its own rules and pricing. Keep recall wording plainly about booking.
The SMS templates above work as WhatsApp templates with the variable parts (client name, pet name, date, time) marked as placeholders. Keep the opt-out line: Tilly honors STOP on WhatsApp just as it does by text.
